Cleaning

For all bookings where alcohol will be consumed a £10.00 cleaning surcharge will be added to your booking fee. This is to cover any damage due to spillages on the wooden floor, which then needs to be re-polished after the event.

 

Deposit

​A deposit of £100 is required at the time of booking booking application to secure your date & time slot.

 

Payment deadline

Full payment of hire charge is due 21 days prior to the date of your booking.

CONDITIONS OF HIRE - PLEASE READ THOROUGHLY

 

  1. All applications for the hiring of Kensworth Village Hall and its adjacent car park, ("the premises"), must be made on forms obtainable from the Bookings Secretary. 

  2. The person signing the application form will be deemed to be the Hirer.  Where an application is accepted, the Bookings Secretary will issue a confirmation of booking form. No booking will shall be deemed to be accepted until this is issued.

  3.  Booking requests must be confirmed with a booking form and deposit within 14 days of initial request. Otherwise, incomplete requests will not be entered into the hall diary.

  4.  A deposit of £100 is required and should accompany the completed application form. The total of the hire charge should be paid in full by 21 days before the function.

  5. The deposit will be refunded after the event, providing that all conditions of hire have been adhered to and that no damage has occurred. The deposit may be retained in full or in part if any of the conditions listed here have been breached.

  6.  For all bookings where alcohol will be consumed a £10.00 cleaning surcharge will be added to your booking fee. This is to cover any damage due to spillages on the wooden floor, which then needs to be re-polished after the event.

  7. The Hirer will notify the Bookings Secretary immediately of any damage, loss or breakage at the Village Hall, whether caused by the Hirer or not. The Hirer is responsible for any damage, loss or breakage, however caused, which occurs during the period of hire. The Hirer shall reimburse Kensworth Village Hall management committee for the cost of making-good.

  8. The Hirer will ensure that the Premises are left in a clean and tidy condition, such that the premises are ready for the next event. 

  9. The Hirer is advised to give SERIOUS CONSIDERATION to insuring against claims or losses which may arise as a consequence of their hire of the Village Hall.

  10. In the event of cancellation within 21 days prior to the function, the full hire charge will be forfeited.  Should the Premises subsequently be re-let, reimbursement will be at the discretion of Kensworth Village Hall management committee.

  11. The Premises shall only be used during the time paid for and for the purpose stated on the application form. The Hirer shall not sub-hire or assign the Premises or any part of it.

  12. The Hirer shall permit authorised members of Kensworth Village Hall management committee to have free access to all parts of the Premises during the hiring and shall comply, without question, with any direction given by them.

  13. The use of gas canisters to fill balloons, lighted candles, or vaporised imitation smoke is prohibited and no engine or article of an inflammable or explosive nature, producing an offensive smell, or any oil, gas or similar substance shall be brought onto the premises without the written consent of Kensworth Village Hall management committee.

  14. Nails, screws, tacks or bolts must not be driven into walls or any part of the building.  Self-adhesive tape must not be attached to walls.

  15. No entrance or exit door shall be removed, locked or obstructed in any way for the entire period of hire. 

  16. The Hirer shall not install or use any sound equipment, additional lights (including spot lights) or heating apparatus of any kind other than those provided at the Premises, unless by prior arrangement with the Bookings Secretary.

  17. The Hirer will ensure that people dancing in the Hall wear suitable footwear, i.e. no stiletto heels, studs or metal attachments.

  18. If amplified music is used (e.g. for a disco) the Hirer shall ensure that the volume is turned down by 10.30pm.

  19. The Hirer shall ensure that persons leaving the Premises do so in an orderly manner, and shall turn off lights, water and secure the building before leaving.

  20. The Hirer shall ensure compliance with the law relating to copyright and with the conditions of any stage license, music and dancing license, cinematography license, Performing Right Society License or Phonographic Performing Limited License, which may be applicable to his or her hiring of the Premises, and shall supply Kensworth Village Hall management committee with any information reasonably required for any of these purposes.  The Hirer shall be responsible for obtaining any license required in connection with the hiring that is not already held by Kensworth Village Hall management committee. The Hirer indemnifies Kensworth Village Hall management committee against any costs arising from failure to observe these rules.

  21. The Hirer indemnifies Kensworth Village Hall management committee against all claims arising from the use or hire of the Premises or of any equipment or fixtures or fittings provided, insofar as the claims do not fall within the responsibility of the Committee as owner/occupier of the Premises.

  22. Where alcoholic refreshments are to be supplied the Hirer shall obtain any license required by law, and any such license must be produced if requested by a representative of Kensworth Village Hall management committee. No alcohol shall be sold to, or consumed by, members of the public in the Village Hall during any hiring, without prior consent of Kensworth Village Hall management committee. 

  23. The Hirer must not allow the  consumption of alcohol by persons under the age of 18.

  24. The Hirer shall not play or permit the playing of any game in respect of which a gaming license is required.

  25. No liability is accepted by or on behalf of Kensworth Village Hall management committee for injury, loss or damage to persons or property resulting from the hire or use of the Premises, fixtures, equipment, fittings or facilities provided, whether during the period of hire or otherwise, unless the injury, loss or damage arises from the negligence of the Committee, its agents or associates.

  26. Kensworth Village Hall management committee reserves the right to refuse admission to or remove any person from the Premises without giving a reason.

  27. If the Hirer fails to observe these conditions in any respect, or secure their observance by others, Kensworth Village Hall management committee may without notice terminate the Hirer's rights under the hire agreement and clear the Premises immediately.  Such an event shall not release the Hirer from any of his obligations under the Hire Agreement or affect any right or remedy which Kensworth Village Hall management committee has under the Agreement or otherwise, and the Committee shall be entitled to retain, for its own use and benefit, any monies paid by way of a deposit and to sue for any balance outstanding.

  28. Kensworth Village Hall management committee reserves the right by notice to the Hirer to terminate the Hire Agreement at any time if they believe that the continued hiring would not be in the interest of the good management of the Village Hall (as to which the decision of the Committee shall be final). In this case Kensworth Village Hall management committee will not be liable in damages or otherwise of its actions under this clause.  On termination of the Agreement under this condition the Committee may at its discretion return to the Hirer any monies paid by way of a deposit but shall not be liable to the Hirer for any loss or damage he may sustain arising out of such termination.

  29. The Hirer must acquaint themselves with emergency procedures.

  30. The Hirer shall, and shall ensure that the Hirer’s invitees comply with the prohibition of smoking in public places provisions of the Health Act 2006 and regulations made there under. Any person who breaches these conditions will be asked to leave the premises.

  31. These conditions may be waived at any time by Kensworth Village Hall management committee

 

Special Conditions for Hire - Parties for Teenagers

  1. Applications to hire the premises for parties consisting mainly of persons between the ages of 13 and 20 inclusive will not normally be accepted except from village residents.

  2. No application for the hire of the hall will be accepted from persons under the age of 21 unless booked by a parent or guardian.

  3. The hirer must undertake to have at least one adult for every 10 young people attending, and the maximum of 100 persons total must not be exceeded.

  4. The hirer is responsible for maintaining good order among young persons attending a function, both inside and immediately outside the premises.

  5. No alcohol shall be brought onto the premises except for consumption by persons over the age of 18 and by prior arrangement with the management committee. The hirer is responsible for ensuring that no alcohol is consumed by persons under the age of 18.

  6. Kensworth Village Hall management committee may perform spot checks during the hiring to ensure compliance with these conditions.

 

Disabled Guests

The hirer is responsible for ensuring safe evacuation of wheelchair users and other people with disabilities in the event of an emergency. The most suitable evacuation routes for disabled users are either the main doors, or the double exit doors on the west side of the main hall.

Elections

Priority is be given to the use of the hall for electoral purposes and any previous bookings conflicting with elections must be forfeited.  Any monies paid for such bookings will be refunded in full, but Kensworth Village Hall management committeewill not be held responsible for any other losses resulting from such cancellation.

 

Acceptance of Conditions
